Vote-by-Mail Reports

Updates to the Vote-by-Mail Request File post on a daily basis during the work week. Be aware that the file will reflect ongoing changes in the Orange County voter file database. Because of this, we recommend you reference the most current Vote-by-Mail Request File available instead of using an earlier saved version, which might not reflect current information.

Preliminary reports post each evening once the processing of daily requests is finished. The files are verified and re-posted, if necessary, by 9 a.m. the following day.

The vote-by-mail files have been modified to include the voter's vote-by-mail category. This field is at the end of the record.

Vote-by-Mail Requested

This report is cumulative, containing all requests up to the date of the report. It does not include requests from voters whose ballot has already been returned to our office. Once the vote-by-mail ballot has been returned to our office, the person is removed from the requested file. 

Vote-by-Mail Delivered

These reports contain the list of individuals who were mailed a vote-by-mail ballot. There are two Vote-by-Mail Delivered reports available. One is a text file and the other is a PDF file. Each file is generated on a daily basis of the delivered vote-by-mail ballots for the date in question.

You have access to the Vote-by-Mail Delivered Filed before the actual mail date for the initial mailing. Voters who become ineligible after this file is posted but before the mail date will not be mailed a ballot, but will remain in the file.

Vote-by-Mail Returned

This report contains the list of individuals who have returned their vote-by-mail ballot to our office. Returned ballots are not reflected in the file until fully processed by our office. The Vote-by-Mail Returned report is cumulative, containing all returns up to the date of the report.

Vote-by-Mail Returned Missing Signature

This report contains the list of individuals who have returned their vote-by-mail ballot to our office without a signature on the Voter's Certificate. For more information about the affidavit to correct a missing or non-matching signature, visit our Vote-By-Mail page. Returned ballots are not reflected in the file until fully processed by our office. The Vote-by-Mail Returned Missing Signature report is cumulative, containing all returns up to the date of the report.

When we receive the affidavit, the record will no longer be included in the Vote-by-Mail Returned Missing Signature File and will move to the Vote-by-Mail Returned File.

Vote-by-Mail Signature No Match

This report contains the list of individuals who have returned their vote-by-mail ballot to our office with a signature on the Voter's Certificate that was determined to not match the voter signature of record. For more information about the affidavit to correct a missing or non-matching signature, visit our Vote-By-Mail page. Returned ballots are not reflected in the file until fully processed by our office. The Vote-by-Mail Signature No Match report is cumulative, containing all returns up to the date of the report.

When we receive the affidavit, the record will no longer be included in the Vote-by-Mail Returned Signature No Match File and will move to the Vote-by-Mail Returned File.
