Vote-by-Mail Reports

The Vote-by-Mail Request file will be updated on a daily basis during the work week--users should be aware that the file will reflect ongoing changes in the Orange County voter file database. Thus, it would be advisable to reference the most current Vote-by-Mail Request file available rather than using an earlier saved version which might not reflect current information.

Preliminary reports will be posted each evening upon completion of the processing of the daily requests. The files will be verified and reposted if necessary by 9:00AM on the following day.

The vote-by-mail files have been modified to include the voter's vote-by-mail category. This field has been added at the end of the record.

Vote-by-Mail Requested

This report is cumulative, containing all requests up to the date of the report. It does not include requests from voters whose ballot has already been returned to our office. Once the vote-by-mail ballot has been returned to our office, the person is removed from the requested file.

Vote-by-Mail Delivered

These reports contain the list of individuals who were mailed a vote-by-mail ballot. There are two Vote-by-Mail Delivered reports available- one being a text file and the other being a pdf file--each of which are generated on a daily basis of the delivered vote-by-mail ballots for the date in question. 

The Vote-by-Mail Delivered file is made available to you in advance of the actual mail date for the initial mailing. Voters who become ineligible after this file is posted but before the mail date will not be mailed a ballot but remain in the file.

Vote-by-Mail Returned

This report contains the list of individuals who have returned their vote-by-mail ballot to our office. Returned ballots are not reflected in the file until fully processed by our office. The Vote-by-Mail Returned report is cumulative, containing all returns up to the date of the report.

Vote-by-Mail Returned Missing Signature

This report contains the list of individuals who have returned their vote-by-mail ballot to our office without a signature on the Voter's Certificate on the return envelope. These ballots will not count unless the voter completes and returns the Omitted Signature Affidavit for Vote-by-Mail Ballot (English - Spanish) no later than 5 pm on the day before the election. Returned ballots are not reflected in the file until fully processed by our office. The Vote-by-Mail Returned Missing Signature report is cumulative, containing all returns up to the date of the report.

Upon receipt of the affidavit, the record will no longer be included in the Vote-by-Mail Returned Missing Signature file and will move to the Vote-by-Mail Returned file.
